Disposal of Department of Chemistry Property via UK Surplus

The University requires the Department to track all major purchases from the moment they enter the building to the moment the item is disposed of. The only mechanism for disposal of equipment, furniture, and other major items is to send the item to University Surplus.  To improve the Department's ability to provide an accurate, timely accounting of all major items, please follow this system for tracking all major items in the Department. 

 

What the Department of Chemistry must send to Surplus: 

  1. All objects that bear a UK inventory tag.  In addition, components from larger items equipment (aamplifier from a spectrometer, for example), but that do NOT have their own inventory tags, must also be sent to surplus. 
  2. Computer Equipment.  Essentially all computer equipment needs to go to surplus.  If the computer was purchased by the College, it must be returned to them, not sent to surplus.  If there is ANY question, see Ed Duhr for help.  Computers and peripherals purchased by the chemistry department must go to surplus, but the disks MUST BE ERASED FIRST.  See the instructions for erasing disks before proceeding.
  3.  Any item with an original purchase price of $1,000 or higher.  Even if something doesn't have a tag on it now, it might have had one in the past or the University might have some other, older record of the item.

 

When in doubt, send it to surplus even if it doesn't have a property tag.

 

To dispose of Department of Chemistry property via Surplus: 

  1. Complete (TYPED ONLY) the Department of Chemistry Surplus Inventory Form.  Double-check the tag numbers!!  If you are disposing of a component from a computer or instrument, include the property number in the description field (i.e. removed from B0123456).  If you are disposing of a computer, erase the hard disk as required.  Bring the completed form to the Chemistry Stockroom CP33 and get the key to the surplus shed.
  2. Stack the items in a neat fashion in the surplus room. Firmly attach the Storage Device Cleaning Form to any computers you are putting in Surplus.
  3. Return the key to the Chemistry Stockroom.

 

If you wish to remove an item from Surplus, the procedure is the same, only be sure you note that the item is being removed from surplus, and record the destination room and the professor responsible for that room.
